DRACOON - Change to the global maximum retention period for customers with a setting of more than 30 days
This change only affects customers who have currently set a maximum retention period of more than 30 days in the system settings under Policies. Customers who have set 30 days or less are not affected and do not need to take any action.
From 01.10.2024, the global maximum retention period for customers who have set more than 30 days will be set to 30 days. Your previous setting will then no longer be valid.
If you would like to keep your original setting, please set it again now in the system settings under Policies. Otherwise, the 30 days will be activated automatically on the specified date. Please note that this setting applies globally for all data rooms. Once the specified retention period has expired, all items in the recycle bin and all previous file versions will be irrevocably and permanently deleted.
Why this change? --> Many room administrators are not aware that deleted files are simply moved to the recycle bin and therefore take up storage space. In some cases, this has led to unnecessary storage extensions and costs for our customers. In addition, deleted files may contain confidential information that must be deleted in accordance with the GDPR. We have therefore set the global maximum retention period to 30 days. This setting can still be adjusted in line with company guidelines.

DRACOON - Maximum retention period
New Feature
From now on, users with the Configuration Manager role can set a maximum retention period for files and folders in the recycle bin and for previous file versions in the system settings.
This setting applies globally for all data rooms. Once the specified retention period has expired, all items in the recycle bin are permanently and irrevocably deleted. Room administrators can only shorten the retention time further in the individual data room settings.
This function is delivered in two steps:
- The new function is displayed with a default value of 365 days in the "Policies" section of the system settings. The function is not yet activated. The configuration manager can now change the default value without any effect.
- After 2 weeks, the setting is activated and files and folders in the recycle bin as well as previous file versions are automatically and irrevocably deleted.

About this release:

Move files and create direct links via drag & drop
The following new features are now available to all users of the DRACOON Web App on the DRACOON Cloud:
- You can now move files to subrooms or subfolders quickly and conveniently using drag & drop.
- In addition, you can drag & drop a file from DRACOON into another application, which inserts a direct link to the file. This way, you can easily point other users of the data room where the file is located to the file.

Virus protection
The following new feature is now available to all users of DRACOON Premium as well as DRACOON Pro with Virus Protection Package:
- DRACOON now offers integrated virus protection that room administrators can activate for their data rooms. This automatically scans all files in the data room for viruses and malware and blocks them in the event of an infection so that they cannot cause any damage.
For virus scanning, DRACOON relies on the renowned German security provider G DATA CyberDefence AG.

End of support for Outlook 2013
After Microsoft has discontinued support for Outlook 2013 on April 11, 2023, DRACOON now also ends support for this Outlook version. DRACOON for Outlook will therefore require at least Outlook 2016 in the future.

The following new features are now available to all users of the DRACOON Web App on the DRACOON Cloud:
- Complete datarooms can be downloaded as a bundled zip file for the first time, including encrypted datarooms. (Firefox/Safari: max. 2 GB, Chrome/Edge: no size limit).
- Entire folders as well as multiple selected files in encrypted datarooms can now be downloaded as a zip file - this was previously only possible in unencrypted datarooms. (Firefox/Safari: max. 2 GB, Chrome/Edge: no size limit).
- In the above scenarios, file downloads now occur directly from the S3 storage to the respective user without first having to take the detour via the DRACOON cloud.
Advantages: The download is possibly significantly faster, if you have your own S3 storage connected; higher data protection, because the files are not first transferred to DRACOON.

Integration and sharing of a standard data space in Teams channels
A new version of DRACOON for Teams has been released in the Microsoft Teams App Store for all DRACOON Cloud users (except DRACOON Basic), offering the following major new feature:
- A DRACOON tab can now be added to each channel in Microsoft Teams, providing users with any specific data room (called: default data room) from DRACOON, respectively.
The channel users can thus download files from the data room, upload them to it, rename and delete them, create folders, etc. directly in Teams.
Room administrators of the data room can adjust permissions of users in the data room directly in Microsoft Teams if needed.

Personal data rooms for OpenID Connect users - Notification to users when email address or login name changes.
The following new features are available to all DRACOON Cloud users with immediate effect:
- Previously, only users who logged in directly to DRACOON via Active Directory authentication could automatically receive one personal data room each. From now on, personal data rooms are also available for users who authenticate to DRACOON via OpenID Connect.
Personal data rooms are disabled by default and can be enabled by the configuration manager for all users logging into DRACOON via OpenID Connect or Active Directory if desired.
- Users are now notified by email when their email address or login username has changed in DRACOON.
This new security feature ensures that the user is notified immediately if the data used to login to DRACOON or receive email notifications from DRACOON changes.

These new apps are called "DRACOON Server" and are compatible with the current LTS release 2019-1 (server version 4.12) as well as with the soon to be released successor DRACOON Server.
On-premises users currently using DRACOON for iOS or DRACOON for Android should switch to the new "DRACOON Server" apps now as only these new apps will provide long-term compatibility with future versions of DRACOON Server.

New: Notifications for events in DRACOON
The new version 5.4 of the DRACOON Web App and the new version 4.20 of DRACOON Core have been deployed on the DRACOON cloud today.
As a result, all users of the DRACOON cloud can now use the powerful new notification features! Users can be notified by email when relevant things happen—for example, when they receive new permissions for data rooms or when another user replies to a file comment.
The new notifications make teamwork with DRACOON more efficient and save time because users are automatically informed about important changes in DRACOON as they occur, which allows instant reaction if required.

Important update for DRACOON LTS 2019-1 available
An updated version of the DRACOON LTS release 2019-1 is now available for installation for customers who run DRACOON on their own servers.
The update for the DRACOON Core Service (former name: DRACOON API) has the version number 4.12.6 and fixes some problems in DRACOON Core Service. It also includes a security update for Spring Boot that fixes a vulnerability in Apache Tomcat (however, the vulnerability could not be exploited if the DRACOON server was configured as recommended by DRACOON and therefore port 8009/tcp is not publicly accessible).
The new version 4.12.2 of the DRACOON OAuth component, the new version 1.2.2 of the DRACOON Branding Service, and the new version 5.2.2 of the DRACOON WebDAV Proxy for DRACOON LTS 2019-1 also include the Spring Boot security update.
If you are a DRACOON on-premises customer using the LTS release 2019-1, we recommend that you install these updates as soon as possible.

The new DRACOON Core version 4.18.1 has been deployed on the DRACOON cloud today.
The new version offers significant improvements for emails that are sent when using DRACOON:
- Emails are now HTML-based and contain the company logo and colors that you have defined in your DRACOON Branding.
- You can now also specify a custom mail signature in your DRACOON Branding—even in multiple languages—and change it anytime.
- In addition, emails on the DRACOON cloud are sent via the external service provider Retarus, which avoids, among other things, that emails from DRACOON are sorted out at recipient-side as supposed junk mail.

DRACOON for WebDAV v5.3
The new version 5.3 of the DRACOON for WebDAV service was installed on the DRACOON cloud today.
In the new version of the DRACOON WebDAV service, support for S3 direct upload has been added. So in the future, when files are uploaded to the DRACOON cloud via WebDAV and S3 storage is connected to DRACOON, the files will be uploaded directly to the S3 storage without having to take a detour to the DRACOON storage first.
The new version of the DRACOON WebDAV service also fixes authentication issues when uploading to a Synology DiskStation via WebDAV.

We are very excited that after more than 18 months of development and an extensive beta test, the new web app is finally available to our customers for productive use.
The new web app offers countless new features, largely inspired by customer feedback. It is based on the most current web technologies, which also means it can be fully used on smartphones and tablets for the very first time. The user interface has been redesigned with the goal to reduce complexity and make end-users and new users more productive.

Now with S3 direct upload
The new version 4.16 of DRACOON Core was rolled out on the DRACOON cloud today.
The new version offers a major improvement: Connected S3 storage now supports S3 direct upload. This means that files can now be uploaded directly to the connected S3 storage without having to take a detour to the DRACOON storage first. The benefits: significantly higher speed and reduced traffic.

DRACOON Core v4.13Now with a single authentication method per user
Previously, each DRACOON user could be assigned several authentication methods, all of which could be used for login (e.g. login either with an email address or via Active Directory username).
Version 4.13 of DRACOON Core, deployed today on the DRACOON cloud, now uses the new authentication rule that we announced a year ago:
From now on, each user will only be able to use exactly one authentication method assigned to him or her. This has the advantage that the user no longer has to choose from several authentication methods when logging in—a common source of errors up to now.
Starting with version 4.13, DRACOON automatically recognizes which authentication method is to be used based on the entered username.
Reason for change and availability for on-premises customers
We made the change because evaluations showed that there were hardly any users with multiple authentication methods.
A frequent scenario is, of course, that several authentication methods for different user segments are to be used in one DRACOON, e.g. via Active Directory for users from the organization and via email for partners. Exactly this requirement can still be met with the new rule.
Customers running DRACOON on self-managed servers (on-premises) will receive the new authentication rule with DRACOON LTS 2019-2, which is expected to be released in December.

For this purpose, DRACOON for iOS regularly creates an index of all data rooms that the user is allowed to use. When using DRACOON for iOS without an Internet connection, this index is used to display the data room contents and also for searching. The app is now integrated into the Share interface of Android—a frequent user request. In this way, for example, a photo from WhatsApp can be quickly and conveniently uploaded to DRACOON via "Share".

DRACOON cloud: Elimination of vulnerabilities in Ghostscript library
On the DRACOON SaaS environment, two vulnerabilities (CVE-2019-3835 and CVE-2019-3838) in the Ghostscript library used by DRACOON to generate thumbnails of PDF files have been fixed.
Partners running DRACOON on their own servers (on-premises) are not affected.
