This article describes how you can set up the global retention time of the recycle bin globally.

What can the global storage time be used for?

With the new global retention period for recycle bins, you can actively manage your recycle bin on a global level. This allows you to actively define deletion periods in accordance with compliance rules and various customer retention policies (no excessive storage of sensitive information, proof of deletion after a certain period of time).

The default value for all existing data rooms is set to 365 days. You can change this at any time and have the option of choosing a longer period or deactivating the retention period altogether.

Setting up the global retention period

Where can I find the setting?

  1. To set this restriction globally, first navigate to "All files" if you are not already there. Then click on "Settings" on the right-hand side:
  2. Once you are in "Settings", navigate to the right-hand side of the page again and click on "Policies":
  3. There you will see the section for the retention time. To configure this value, click on "Change":

Change maximum storage time

  1. After you have clicked on "Change", a window opens with the configuration options for this functionality:                                                                    
  2. You have two possible options. The first allows you to cancel the time limit completely, while the second option can be set to a value of 1.
  3. When you have finished configuring your preferred option, save your changes by clicking "Change".

 

Additional information on the storage period

  • The global retention time can only be set and configured via the Config Manager.
  • Only values greater than 0 are permitted.
  • In the case of two simultaneous storage times, one value for the global level and one for the room level:
    • The global value always takes precedence over the room value of a data room. If the room value is higher than the global value, the room value is lowered to correspond to the global value.
    • The room value can deviate from the global value, but must be less than or equal to the global value.
  • If only a storage time is set at a room level, but no value is set for the global level, the room value remains unchanged and effective.
  • The global value for the storage time applies to all subordinate rooms and folders.
