Expiration date, classification and description are special properties of files stored in DRACOON. This article describes their purpose and use.

What are expiration date, classification and description of a file?
- Each file in DRACOON can have an expiration date. If an expiration date is assigned to a file, its "life span" in DRACOON is limited in time. The expiration date is the last day on which the file still exists in DRACOON. At the beginning of the following day the concerned file is deleted automatically irrevocably.
- Each file, folder and data space in DRACOON has a classification. The classification defines the confidentiality level of the item and is one of the following four predefined values, which are also indicated by different colors:

internal
confidential
strictly confidentialExample: By assigning the classification "public", it can be made clear to all users that the element may be released for public download without hesitation.
The classification is "internal" by default, but it can be changed at any time for each element.
Only the respective room administrator is allowed to define the classification of a data room; this also defines the Default classification for new files in the room is also defined – all files uploaded to the data room then receive this classification by default.
The classification is purely informative and has no specific effect on the handling of the file by DRACOON - with one exception: The configuration manager can define a system-wide policy, that specifies that when sharing items above a certain classification of the item, the sharing must be password protected.
- Each file in DRACOON can have a description. This can serve e.g. as a supplementary, informative reference or as a note to the file.
View expiration date, classification and description of a file
- Highlight the desired file.
- The file expiration date, classification and description are displayed in the right sidebar under File information. If a file has no expiration date or no description, the corresponding fields are empty.
- You can tell at a glance if a file has an expiration date by looking at the clock icon that appears for files with expiration dates. When you point to the icon, the expiration date is displayed as a tooltip:
- The classification is also indicated in the file list by different colored dots for each data space, folder and file. When pointing to the point, the classification is displayed in the wording as a tooltip:
Set expiration date of one or more files
- Highlight Sie the desired file.
You can also highlight multiple files, if you want to set the expiration date for several files at once.
- Click the right sidebar in the field Expiration date on the calendar icon.
- Click in the calendar on the last day on which the file should still exist in DRACOON. On the other hand, if you want to remove an existing expiration date, click on the X to the right of the expiration date, or delete the date from the expiration date text box using the keyboard.
Please note that the file will automatically be irretrievably deleted after the expiration date has passed. Expired files are not moved to the recycle bin, but deleted permanently!
- Binding expiration date by default of the room administrator: If the room administrator has set a mandatory default expiration period for the data room in use, an existing expiration date cannot be removed from a file. In this case, you also cannot set an expiration date for files in the room that is further in the future than the default expiration period specified by the room administrator. In this case DRACOON displays an info icon next to the expiration date setting - point to it to receive a corresponding hint.
- Otherwise, an existing expiration date can be changed at any time while the file still exists. For example, the lifetime of a file can be subsequently extended by setting the expiration date to a later date. In addition an existing expiration date can be removed, whereby the file remains again temporally indefinitely stored in DRACOON.
- The expiration date for files can also be conveniently set immediately after uploading. You can find information about this under Upload history > Set expiration date, classification and description after uploading.
Who is allowed to set the expiration date of a file?
Users need the Edit Files and Folders permission in the relevant data room to be able to change the expiration date of files in the room. This permission is included in the Edit permission grouping.
Change classification of one or more files or a folder
- Highlight the desired file or folder.
You can also highlight multiple files, if you want to change the classification for several files at once.
- Click in the right sidebar on the field Classification, to select a different classification for the file or the folder.
If you change the classification of a folder, this only affects the folder itself, but not the files located in the folder.
- The classification for files can also be conveniently set immediately after uploading. You can find information about this under Upload history > Set expiration date, classification and annotation after uploading.
- A room administrator may have defined a certain default classification for new files in the dataroom. All files uploaded to the data room will then automatically receive the default classification chosen by the room administrator. You can change this for a desired file if necessary and thus define it differently.
Who may change the classification of an element?
Users need the permission Edit files and folders in the data room in question, to be able to change the classification of files and folders in the room. This Authorization is included in the authorization grouping Edit
The classification of a data room itself may only be changed by a Room administrator of the room.
Add description to a file
- Highlight the desired file.
- In the right sidebar, click the field Description, uand enter your desired description of the file.
- The description for files can also be conveniently set immediately after uploading. You can find information about this under Upload history > Set expiration date, classification and description after uploading.
- Only one description is possible per file. However, in addition to the description the Comments are avalable , which can be added to the file as many times as the user wishes.
Who is allowed to add a description to a file or change it?
Users need the permission Edit files and folders in the data room in question, to be able to change the description of files in the room. DThis authorization is included in the authorization grouping Edit.
