This article describes the possibilities of file and folder management in the DRACOON Web App.

Create new folder
With folders files can be stored in DRACOON within a data room separated according to subject areas, as you know it also from your PC/Mac or e-mail inbox. Within a folder any further subfolders can be created.
- Open the data room or DRACOON folder where you want to create a new folder.
- Click New Folder in the right sidebar. (If the New Folder command is not visible, files are probably highlighted - then uncheck all the checkboxes in front of the files so that no file is highlighted anymore. If the New Folder command still does not appear after that, you do not have permission to create a new folder in the data room).
- Type a name for the new folder (hint: use short names if possible) and press ENTER.
Who is allowed to create new folders?
Jny user of a data room who has the Create Files and Folders permission can create new folders in it. This permission is included in the permission grouping Edit.
Who is allowed to access newly created folders?
All users of a data room may access all folders in the data room and thus also the new folder. It is not possible in DRACOON to restrict the access rights to a certain folder, because access rights in DRACOON always refer to a whole data room. If you need a separate access-protected area within a data space, a subspace can be created for this instead of a folder. If necessary, contact a room administrator of the data room concerned.
Rename files/folders
Option 1: Rename directly in the file/folder list
- Right-click the file or folder that you want to rename.
- Click in the context menu on Rename.
- Change the existing file or folder name or type a new one and press ENTER.
You can also quickly rename a file or folder by clicking on the name while pressing the Ctrl
-Key.
Possibility 2: Rename in the file/folder information of the right sidebar
- Highlight the file or folder you want to rename.
- In the right sidebar, under File information or Folder information, at the very bottom, the file or folder name is displayed.
- Click in the file or folder name or on the pencil icon right next to it.
- Change the existing file or folder name or type a new one and press ENTER.
Who is allowed to rename files/folders?
Any user of a data room who has the Edit files and folders permission can rename existing files and folders in it. This permission is included in the Edit permission grouping.
Copy files/folders
Files or folders can be copied to other folders or other data spaces. When copying a folder, all its subfolders are also copied.
- Highlight the file or folder to be copied. You can also highlight multiple files or multiple folders to copy them at once.
- Click in the right sidebar on Copy.
- A dialog box appears for selecting the destination folder or data space to copy to.
- In the room/folder structure, select the desired destination for the copy operation.
- Data rooms shown in gray: Data spaces to which you are not allowed to copy due to lack of authorization, but which have subspaces to which you are allowed to copy, are displayed in gray. You cannot select the grayed-out data spaces as copy targets, but you can expand them to show the subspaces.
- Restrictions on encrypted data rooms: Aus encrypted data spaces cannot be copied to unencrypted data spaces and vice versa. Data spaces that are affected by this are also grayed out and cannot be selected as a target. However, it is possible to copy from encrypted data spaces to other encrypted data spaces.
- Mögliche Speicherplatzbeschränkung im Zieldatenraum: Möglicherweise hat ein Administrator den verfügbaren Speicherplatz im Zieldatenraum begrenzt, so dass dort nicht genügend Platz für die zu kopierenden Dateien vorhanden ist. DRACOON zeigt nach dem Kopiervorgang ggf. eine entsprechende Meldung an.
Search during target selection: If you know the name of the target folder or data room, you can enter it in the search field above the room/folder structure. This way you can quickly find and select the room or folder you are looking for without having to tediously click through a possibly deep room/folder hierarchy until you have reached the desired target.
- Click Copy.
Available Comments of a file are not copied when the file is copied. The created copy is an independent version of the original file without the previous comments.
Who is allowed to copy files/folders?
The copying user must have the Create files and folders permission in the data room to which the copy is to be made. This permission is included in the Edit permission grouping.
Move files/folders
Files or folders can be moved to other folders or other data spaces. Afterwards, they are no longer present in the original folder or data space. When moving a folder, all its subfolders are also moved.
- Highlight the file or folder that you want to move. You can also highlight multiple files or multiple folders to move them at once. move.
- Click in the right sidebar on Move.
- A dialog box appears for selecting the destination folder or data room to move to.to be moved is displayed.
- In the room/folder structure, select the desired destination for the move operation.
- Data rooms shown in gray: Data spaces to which you are not allowed to move due to lack of permission, but which have subspaces to which you are allowed to move, are displayed in gray. You cannot select the grayed out data spaces as move targets, but you can expand them to show the subspaces.

- Possible storage space limitation in the target data space: Possibly an administrator has limited the available storage space in the target data space, so that there is not enough space there for the files to be moved. DRACOON will display a corresponding message after the move operation if necessary.

- Click Move.
Who may move files/folders?
The moving user must have the Create files and folders permission in the data room to which the move is to be made. This permission is included in the Edit permission grouping.
If the data is moved to another data room, the user also needs the Delete files and folders permission in the data room from which the data is to be moved. This permission is also included in the permission grouping Edit.
Delete files/folders
Files or folders that are no longer needed can be deleted. When deleted, files and folders are not immediately permanently deleted, but first moved to the recycle bin of the data room. From there, they can then be permanently deleted if required, but also restored.
Move files/folders to the recycle bin
- Highlight the file or folder to be moved to the Trash. You can also highlight several files or folders to move them to the Recycle Bin at once. move them to the Recycle Bin at once.
- Click in the right sidebar on Delete.
- Confirm the security prompt.
Space occupied by files in the recycle bin: Files that have been moved to the Trash continue to occupy space in the dataspace and therefore count against any dataspace space limit. To free the space, you must permanently delete files (see the next section) or set the Empty trash.
Who is allowed to move files/folders to the trash?
The user moving to the Trash must have the Delete files and folders permission in the data room. This permission is included in the Edit permission grouping.
Delete files/folders permanently
- Click the three-dot button next to the path bar, and click in the menu on Trash.
- Highlight in the recycle bin, select the file or folder that you want to delete permanently. should be deleted.
- Click in the right sidebar on Delete.
- Confirm the security prompt.
Automatic deletion from the recycle bin: The room administrator can have set for the recycle bin that items in the recycle bin are automatically permanently deleted after a certain number of days (the number of days can also be set by the room administrator). If this setting is active, you can possibly dispense with the final deletion of files from the Recycle Bin, since the files to be deleted will be automatically deleted later anyway. However, immediate manual final deletion from the recycle bin can be useful, e.g. for very large files and folders, in order to free up the storage space occupied as a result - especially if the storage space for the data room has been limited by the room administrator..
Who may permanently delete files/folders?
The final deleting user must have the two permissions View Deleted Items and File Versions and Remove Deleted Items and File Versions in the data room.The latter is not included in the Edit permission grouping and must have been explicitly assigned to a user. Room administrators have all permissions in the data room and can therefore permanently delete files and folders.
