This article describes how you, as a data room user, can find out which other users and groups can also access the data room and what permissions they have. You will also learn how to determine the room administrators of a particular data room, for example, in order to request extended access permissions for you from them.
Who may view the co-users of a data room?
Every user of a data room is authorized to view the other users of the data room - even users who only have read permission in the data room.
Topics of this article
Show co-users of a data room
- Open the data room whose co-users you want to learn about.
- Click the button to the right of the path navigation bar and then click Permissions in the menu:
- A list of all authorized users in the data room is displayed.
Note that only those users are listed who have been explicitly authorized (i.e. specifically as a single person) to access the data room. Users who are members of a group authorized to access the room and can access the room through this are not listed!
To see if a particular user is authorized, type part of the username you are looking for in the Search users field above the user list. Note, however, that this will not find users who are authorized to access the room via a group membership.
- In the right-hand Access Right column, you can see what permissions each user has in the data room. If the permission is Customized, click the user to see the user's active individual permissions in the data room in the right sidebar.
Show room administrators of a data room
- Open the data room whose room administrators you want to know.
- Click the button to the right of the path navigation bar and then click Permissions in the menu:
- In the drop-down box to the right of the search field, select the entry Room Administrators.
- A list of all authorized room administrators in the data room is displayed. You can contact them, for example, if you need extended access permissions in the current data room (e.g. if you currently lack the required permission to share files in the room).
Note that only those room administrators are listed who have been explicitly (i.e. specifically as a single person) granted permission to the data room. Room administrators who are members of a group with "room administrator" permission for the room and are therefore room administrators in the data room are not listed!
To look up whether a particular user is a room administrator, enter part of the username you are looking for in the Search users field above the user list. Note, however, that this will not find room administrators who are room administrators in the current data room via a group membership.
Display authorized groups of a data room
- Open the data room whose authorized groups you want to know.
- Click the button to the right of the path navigation bar and then click Permissions in the menu:
- Click on the Groups tab.
- A list of all groups that are authorized to access the data room is displayed.
If you want to use one of the five roles for DRACOON administration you can, if necessary see which users are included in a group.
- In the right column Access Right you can see which permissions the individual groups have in the data room. If the permission is Customized, click the group to see the active individual permissions of that group in the data room in the right sidebar.
