This article describes how you can subsequently change the settings of an existing share to adapt it to new requirements.
Examples:
- Extending the availability of a release by changing the previous expiration date
- Subsequent password protection for a previously freely accessible share
- Addition to existing annotation to provide more precise or updated download instructions to users on the release web page.
- Turn off email notification on every download, as unexpectedly many files are downloaded and the many email notifications became annoying
Topics of this article
Change current settings of an existing share
- Click Shares in the left sidebar.
- Highlight Sie dhe share whose settings you want to change and click in the the right sidebar on Edit:
- The Edit Share dialog box opens, displaying the previous settings of the share. Change them as desired.
If you want to change settings other than the expiration date and password, click More settings. After that, the More settings dialog box appears, where you can change the rest of the share settings.
Info about the individual settings
- In the Edit Share dialog box, click Save to activate the new settings for the share.
- If you set a new password in the share settings and do not send it by SMS in the settings, you must tell the intended users of the share the password, because otherwise they will not be able to use the share anymore.
- For shares in password-protected data rooms, the password cannot be changed later; here, the password that was set when the share was created is always used.
Change notification of an existing share
- Click Shares in the left sidebar.
- Highlight the share whose notification setting you want to change.
Note: For shares where a notification is currently active, a bell icon is displayed in the share list: - Click Enable Notification or Disable Notification in the right sidebar to enable notification for the share (if it was not previously active) or disable it (if it was previously active).
If notification is enabled, the creator of the share will receive an email each time the share is used (for example, when the shared file is downloaded).
If a share is used unexpectedly often, the many notification emails can become annoying - in this case it can be useful to deactivate the notification again.
Who is allowed to change the settings of shares?
Users need the Manage shares permission in the data room to which the share refers in order to change the previous settings of the share. This permission is included in the Edit permission grouping.
