Notifications automatically inform you by email about certain events in DRACOON and point out the change that has occurred.
Notifications facilitate cooperation on your team and help you to notice relevant changes in DRACOON promptly in order to be able to react to them if necessary.

Available events for notifications

In DRACOON, four events can trigger a notification:

1. New data room access right: You will immediately receive a notification email as soon as a room administrator has granted you access to a data room or when your existing permissions for a data room have been changed.

   Click on the specified data room (Materials in this instance)
   in the email to open it immediately in the web app.

2. New group membership: You will immediately receive a notification email when you are added to a group (giving you access to those data rooms that the group is authorized to access).

   When you get access to new data rooms through a new group membership, you will only receive the notification about the new group membership and no additional notification that you can access new data rooms (as in point 1 above). This way the number of notifications is reduced.

3. Newly uploaded files (in selected data rooms): You will receive a notification email when new files have been uploaded by other users to a data room for which you want to receive notifications. By default, the notification email is sent immediately, but if you wish, a summary can be sent only once a day.
4. New file comments (for selected files): You will immediately receive a notification email when other users comment on a file for which you want to receive notifications.

Select desired events for notifications in the user account

The four notifications above are active by default. You can disable events for which you do not want to be notified in your user account.

1. Click on your profile picture in the upper right corner and click on Manage user account.
2. Click on the tab Notifications.
3. Select or clear the check boxes for the event types, for which you want to receive or not receive notifications:
4. The changes are applied immediately.

If you enable notifications for data room (i.e. for newly uploaded files) or file (i.e. for new file comments) in the user account, this setting is not automatically active for all data rooms or files, respectively, to reduce the number of your incoming notifications. Therefore you have to select additionally those data rooms or files for which you want to receive notifications (see below).

Set notification interval for notifications about newly uploaded files

By default, if you want to be notified about newly uploaded files, a separate notification email is sent for each new uploaded file in your selected data spaces. To reduce the number of notification emails if you have a lot of uploaded files, you can set the user account to receive a summary of all uploaded files by email only once a day.

1. Click on your profile picture in the upper right corner and click on Manage user account.
2. Click on the tab Notifications.
3. For data room, set the desired interval for notifications of newly uploaded files in the drop-down box: select Immediate email for a separate file, immediate notification per newly uploaded file or daily email for a summarized, once-daily notification.

Select data rooms for notifications about newly uploaded files

If you have enabled notifications for newly uploaded files in the user account, you can select separately for each data room whether you want to be notified about newly uploaded files there.

1. To enable notifications for newly uploaded files in a dataroom, click the enable the bell button (next to the button Upload):
2. The bell button is highlighted and no longer crossed out, indicating that notification of newly uploaded files in this data room is active:
3. If you want to deactivate the notifications for this data room again re-click on the bell button.

Notification about file requests when uploading: The notification for files uploaded to the data room is not triggered if someone uploads files to the room via via a public file request. If you are the creator of a file request and want to be notified about new files uploaded via a file request, enable the notification specifically for the file request.

Select files for notifications about new file comments

If you have enabled notifications for file comments in the user account, you still need to select the files for which you want notifications for new comments.

1. Open the Detailed view of the desired file, e.g. by clicking on the file name.
2. Click the button at the top ‍ und danach auf Notify me about comments:
3. You will receive a notification email when another user adds a comment to this file.
4. To disable file comment notifications for this file again, open the file's detailed view again and click the three-dotted button and then on Stop notifying me about comments.

When you add a comment to a file yourself, the notification about the new file comments is automatically activated for this file, so that you do not miss subsequent comments from other users (e.g. replies to your comment).
