Data room
Overview
After launching the app and logging in, the following default home screen will be displayed, showing all DRACOON data rooms that you are allowed to access. Using the search function, you can quickly find individual data rooms, folders, and files.
Work offline: Starting with version 5.7, DRACOON for iOS can also be used without an Internet connection (e.g. when flight mode is active). The contents displayed (data rooms, folders, file lists) reflect the status of the last use of DRACOON for iOS with an active Internet connection.
It is also possible to search for rooms, folders, and files offline.
You can also offline reopen files from DRACOON that were previously opened and downloaded to the device.
Creating Download Share
- If you want to send a data room, folder or file to others, swipe left on the respective data room, folder or file until the more menu opens automatically.
- Then tap Create Download Share.
- Now you can make settings for your share as required. Confirm the settings by tapping Create.
- Finally you can share the share link, the share link as a QR code and the share password, if a password has been specified in the settings. To do this, tap and select one of the three options.
Note: You can only download individual files that are located in encrypted data rooms. This option is not available for entire encrypted data rooms or folder located in them.
Expiration date:
The download share will automatically be removed after the expiration date (the shared item in DRACOON is unaffected by this and remains saved).
Password (optional):
By choosing a password, the Download Share will be protected and files can only be uploaded if the link recipient enters the correct password. The password chosen by you must be entered by the recipient on the upload page.
The password is not sent in the email. Please send the password to the recipient in a different way.
Adjust more settings:
Notify after downloads:
If this feature is activated, you will receive a notification by email when someone downloads the shared item.
Show creator’s name:
If this feature is activated, the name of the download share creator will be visible on the download page.
Show creator’s email:
If this feature is activated, your email or username will be visible on the download page so that the recipient knows how to contact the download share creator.
Annotations (publicly visible):
In this field, you can enter some comments which might be useful for the recipient of the Download Share.
Creating Upload Share
- To create an Upload Share within a data room or folder, swipe left on the respective data room or folder until the more menu opens automatically.
- Then tap Create Upload Share.
- Now you can make settings for your share as required. Confirm the settings by tapping Create.
- Finally you can share the share link, the share link as a QR code and the share password, if a password has been specified in the settings. To do this, tap and select one of the three options.
Expiration date:
The Upload Share will automatically be removed after the expiration date and cannot be restored. The uploaded files themselves remain in DRACOON.
Password (optional):
By choosing a password, the Upload Share will be protected and files can only be uploaded if the link recipient enters the correct password. The password chosen by you must be entered by the recipient on the upload page.
The password is not sent in the email. Please send the password to the recipient in a different way.
Adjust more settings:
Notify on upload:
If this feature is activated, you will receive a notification by email when someone uploads an item to the Upload Share.
Delete uploads:
Here you can specify how many days the files will be preserved after being uploaded to the DRACOON. After the date, the files are permanently deleted from the system and can not be restored.
List uploads:
If this feature is activated, files which have already been uploaded to the Upload Share will be visible to everyone accessing the upload page.
List file count:
This setting limits the number of files which can be uploaded to the Upload Share. If a limit has been set, the number of files which can still be uploaded will be visible on the upload page.
Limit quota:
Maximum collective total size of all files uploaded to the Upload Share. You can choose between GB, MB, and TB.
Annotations (publicly visible):
In this field, you can enter some comments which might be useful for the recipient of the Upload Share.
Creating a data room
- If you want to create a data room on the top level, tap the plus sign in the top right corner.
- Then tap Create Data Room.
- Enter a name for your data room and tap Done.
Editing a data room
- To edit a data room, swipe left on the respective data room until the more menu opens automatically.
- Now you can choose between the options Rename, Create Download Share, Create Upload Share and Add to favourites.
Rename:
To rename a data room, select Rename in the aforementioned menu and enter a new name. Confirm by selecting Done.
Create Download Share:
If you want to share the entire contents of your data room with others, tap Create Download Share. Finally you can make settings for your share.
Create Upload Share:
If you want to provide another person with an upload opportunity, tap Create Upload Share. Finally you can make settings for your share.
Add to favourites:
If you want to add a data room to your favourites, tap Add to favourites. After that you can quickly access the data room by using Favourites on the tab bar.
Deleting data room
- To delete a data room, first swipe left on the respective data room to access the data room's options.
- Then tap Delete.
- The deletion is confirmed after selecting Delete once more.
Folders
Creating a folder
- To create a folder within a data room, tap the plus sign in the top right corner.
- Then tap Create Folder.
- Enter a name for your folder and tap Done.
Editing a folder
- To edit a folder, swipe left on the folder until the more menu opens automatically.
- Now you can choose between the options Copy, Move, Rename, Create Download Share, Create Upload Share and Add to favourites.
Copy:
To copy a folder to a second location, select Copy in the aforementioned menu. Select a new location within DRACOON and tap Copy in the lower left corner to confirm.
Move:
To move a folder to a new location, select Move in the aforementioned menu. Select a new location within DRACOON and tap Move in the lower left corner to confirm.
Rename:
To rename a folder, select Rename in the aforementioned menu and enter a new name. Confirm by selecting Done.
Create Download Share:
If you want to share the entire contents of your folder with others, tap Create Download Share. Finally you can make settings for your share.
Create Upload Share:
If you want to provide another person with an upload opportunity, tap Create Upload Share. Finally you can make settings for your share.
Add to favourites:
If you want to add a folder to your favourites, tap Add to favourites. After that you can quickly access the folder by using Favourites on the tab bar.
Deleting a folder
- To delete a folder, swipe left on the respective folder to access the folder's options.
- Then tap Delete.
- The deletion is confirmed after selecting Delete once more.
Files
Uploading files to DRACOON
- You can upload files to DRACOON by using Files App. To upload a file, tap and hold on a file in your Files app for 2 seconds and then select Share.
- In the subsequent share menu, tap Copy to DRACOON, select the target data room or folder and then confirm the upload by selecting Upload file.
Uploading a photo or video
- To upload a photo or video to DRACOON, tap the plus sign in the top right corner.
- In the following menu tap Select photo or video. Then select the photo or video that you want to upload.
- Finally tap Done to start the uploading process.
Select photo or video:
Select a photo or video from your Camera Roll and upload it to DRACOON. To do so, you must grant the app permission to access to your photos. If you are uploading a photo or video for the first time, a message will automatically appear and ask you to grant access to your photos.
Confirm by selecting OK.
If this message does not appear, you can allow DRACOON access to your photos from within your system settings. Open your iPhone settings and navigate to the Privacy settings. Select Photos, find DRACOON in the list of apps, and change Never to Read and Write.
Take a photo:
Take a photo and upload it directly to DRACOON. To do so, you must grant the app permission to access to your camera. If you are accessing the camera from within the DRACOON app for the first time, a message will automatically appear and ask you to grant access to your camera.
Confirm by selecting OK.
If this message does not appear, you can allow the DRACOON app access to your camera from within your system settings. Open your iPhone settings and navigate to the Privacy settings. Select Camera, find DRACOON in the list of apps, and change Never to Read and Write.
When uploading a file, photo, or video, the uploaded file will get the default classification assigned to the target data room, such as "Confidential".
Scanning and uploading a document
DRACOON for iOS 5.9 or later
Scanning documents requires iOS 13.1 or later.
- To scan a document and upload it to DRACOON as a PDF file, select the desired data room or folder and tap the plus sign in the top right corner.
- Tap Scan document in the menu.
- Focus the desired document with the camera until it is automatically recognized as a scan object. If necessary, change the position of the iPhone or iPad until the entire document has a blue background and is therefore recognized as the desired scan object.
- Tap the round shutter button on the screen.
- If the scan fails, tap Retake to discard the previous scan and try again.
- Otherwise, you can manually crop the scanned image by dragging the corners to the desired positions.
- Tap Keep Scan if the scan fits your needs and you want to keep it.
- Repeat steps 3-7 if you want to scan additional document pages.
- Tap Save when you have scanned all the pages you want.
- Enter a file name for the PDF file. DRACOON for iOS automatically suggests a file name that could be identified as a possible title in the scanned document. If necessary, change it or replace it with your own file name.
- Tap Done. All scanned pages are bundled into a single PDF file under the specified file name and uploaded to DRACOON.
Downloading a file
To download a file, simply tap on the file you want to download. A red check mark in the image preview denotes that this file has been successfully downloaded to your device and can be viewed offline.
If a file is located in an encrypted data room, you will first be prompted to enter the corresponding Decryption Password. After that confirm by selecting Save.
Editing a file
- To edit or share a file, swipe left on the respective file until the more menu opens automatically.
- Now you can choose between the options Copy, Move, Rename, Create Download Share, Share file, Remove from cache and Add to favourites.
Copy:
To copy a file to a second location, select Copy in the aforementioned menu. Select a new location within DRACOON and tap Copy in the lower left corner to confirm.
Move:
To move a file to a new location, select Move in the aforementioned menu. Select a new location within DRACOON and tap Move in the lower left corner to confirm.
Rename:
To rename a file, select Rename in the aforementioned menu and enter a new name. Confirm by selecting Done.
Create Download Share:
To share the file’s download link with others, tap Create Download Share. Finally you can make settings for your share.
Sharing a file:
If you want to send the file to others, tap Share file and select the app that you want to use to send the file. Finally, before sending it, you can add your own notes to the message, e.g. a short description of the file for the recipient.
Note: This option is only displayed if you have downloaded the document or image before (see section Downloading files).
Remove from cache:
If you want to remove a file from your cache storage, e.g. due to running out of storage, select Remove from cache.

Add to favourites:
If you want to add a file to your favourites, tap Add to favourites. After that you can quickly access the file by using Favourites on the tab bar.
Editing more than one file at the same time
- To copy, move, or delete more than one file at the same time, select the Pencil icon in the top right corner.
- You can then select the respective files and edit them, i.e. copy, move, or delete them.
Deleting a file
- To delete a file, swipe left on the respective file to access the file's options.
- Then tap Delete.
- The deletion is confirmed after selecting Delete once more.
Viewing, adding, editing, and deleting file comments
Viewing existing file comments
- Double-tap the file whose comments you want to view.
- Tap the comment icon in the upper right.
- The existing comments are displayed.
Adding a new file comment
- Double-tap the file to which you want to add a comment.
- Tap the comment icon in the upper right.
- At the bottom, in the Write a comment field, enter your comment, and then tap the button with the arrow to the right of the input field to submit the comment.
Editing an existing file comment
You can only edit your own comments (that you had written yourself). Comments of other users cannot be edited.
- Double-tap the file where you want to edit a comment.
- Tap the comment icon in the upper right to view the existing comments.
- Press and hold the comment you want to edit.
- Tap Edit comment and change the comment as desired.
Deleting an existing file comment
You can only delete your own comments (that you had written yourself). Room administrators can additionally delete comments from other users in their rooms and thus act as comment moderators.
- Double-tap the file from which you want to delete a comment.
- Tap the comment icon in the upper right to view the existing comments.
- Press and hold the comment you want to delete.
- Tap Delete comment.
Favourites
Add to favourites
For quick access to important or frequently used data rooms, folders or files, you can mark them as favourites.
If you want to add a data room, folder or file to your favourites, swipe right on the respective data room, folder or file. After that the data room, folder or file is marked with a star symbol. You can find them in the favourites section on the tab bar.
Remove from favourites
If you want to remove a data room, folder oder file from your favourites, swipe right on the respective data room, folder or file. The repetition of the gesture removes the respective data room, folder or file from your favourites.
App Settings
Camera upload
If this feature is activated, all photos and videos taken with your iPhone or iPad will automatically be uploaded to a data room or folder in DRACOON.
Please note that the media upload is only carried out if the DRACOON app is in the foreground. iOS does not allow media upload in the background to save energy. If you want to use the media upload, you should start the DRACOON app now and then and leave it in the foreground.
- If you want to upload your photos and videos automatically, tab Camera upload.
- Then tap the switch next to Upload automatically.
- Now you have to select the destination data room or folder and confirm it by tapping Select.
- Finally, you will be asked if you want to upload your existing media from the camera roll. Confirm this query with Yes or No.
Include videos:
If you also want to upload videos automatically to your DRACOON, tap the switch next to Include videos.
Upload via mobile network:
By default, photos and videos will only be uploaded if your iPhone or iPad is connected to a Wi-Fi network. However, you have the option to also enable this upload with a mobile network connection by selecting Upload via mobile network.
Dealing with image formats
Your iOS device captures images in the new HEIC image format. This has the disadvantage that these images may not be displayed by other operating systems, such as Windows 7 (the latest Windows 10 versions support HEIC). To prevent this, you can upload the captured images in the popular JPEG format to DRACOON instead. If you want all pictures (automatic or manual upload) to be uploaded as JPEG files, deactivate the option Keep original image format.
PIN code
You can enable a PIN code for the DRACOON app for an additional level of security. For example, if you haven’t used your DRACOON app for a while even though it was open in the background, you must enter your PIN code to access your data.
- If you want to set a PIN code, tab PIN code.
- Then tap the switch next to Enable PIN Code.
- A window will appear prompting you to enter your PIN code and subsequently verify it.
Forgot PIN code:
If you forget your PIN code, you can reset it. However, for security reasons, all files from your DRACOON are removed from your device (the files are of course still stored in your DRACOON).
Change PIN code:
You can change your PIN code at any time by selecting Change PIN Code and entering and verifying your new code. You will first have to enter your current PIN code to do so.
Auto-Lock:
Your DRACOON app will now automatically lock after a moment of inactivity (i.e. no interaction with the screen). You can define this time period and choose between 30 seconds and 1, 5, 10, and 30 minutes.
Face/Touch ID:
If your iPhone or iPad is equipped with a Face/Touch ID sensor you can enable the feature for the DRACOON application. By doing so, you no longer have to input the PIN code when accessing the App, but can use Face/Touch ID instead.
Note: You can only use this feature if you have activated it in the DRACOON application settings. To do so, tap the switch Face/Touch ID in the settings.
Files app access:
If you have set a PIN code for your DRACOON App and you want to use the Files App, you have to activate the Files app access function. To activate this function, simply tap the switch next to Files app access.
Note: The Apple Files App offers you the opportunity to use your DRACOON as usual without switching between the applications. If you have not activate a PIN code for your DRACOON App, you can automatically use your DRACOON in the Files App.
App icon
The App icon feature allows you to display the DRACOON app icon in three different colours. You can choose between the following colours: Black, Red and White.
- If you want to change the colour of your app icon, tab Settings on the tab bar.
- Then tab App icon.
- Now you can select your preferred colour (Black, Red or White). Finally close your DRACOON app to examine the result.
System information
In the system information you will find the user name, server address as well as exact information about the server version, app version and iOS version and the current network being used.
Tip: If you have a problem with your DRACOON app and want to provide DRACOON support with information about your system being used, tap in the upper-right corner. Now select an application you want to use to send the information.
Clear cache
You can use the Clear cache feature if you need to save storage space by deleting all downloaded files from your device (the files will still be stored in your DRACOON). You can download them again later by tapping the respective file.
- If you want to clear the cache, tab Clear cache.
- Then confirm by tapping Clear.
