About this release
Version 6.6 of DRACOON for Outlook for DRACOON cloud users contains several new features and improvements.
New features and improvements
NewSetting the language for notes on inserted share/file request links per individual email
If DRACOON for Outlook inserts a link to a DRACOON item into a mail draft, the link is automatically supplemented with helpful notes, e.g. with the word "Share" as well as—if the share has an expiration date—a mention of the expiration date. By default, these notes are inserted in the same language in which Outlook is used.
In DRACOON for Outlook 6.6, you can now, if required, change the language in which the notes are inserted in a specific email. All languages can be used that are included in DRACOON (English, German, French, Spanish, Italian, Polish, Russian, Czech).
This feature is helpful if you send an email to Italian recipients, for example:
The inserted link will then have Italian notes, appropriately:
The language can be changed at any time—even if links have already been inserted into the mail draft with DRACOON for Outlook! In this case, all existing links will automatically switch to the new language (as long as the email is sent in HTML format).
NewSending internal DRACOON links instead of public share links to recipients of specific email domains
By default, DRACOON for Outlook always creates public share links for shares, which everyone can use, even if they do not have access to the relevant data room in DRACOON. However, if an email with links to DRACOON files is to be sent to recipients who are all members of one's own organization, internal DRACOON links (which point directly to the linked element in the DRACOON Web App) may make more sense.
For this scenario in version 6.6 of DRACOON for Outlook, a list of email domains can be specified via a registry value. If all recipients of an email are then members of these email domains, DRACOON for Outlook automatically creates internal DRACOON links instead of public share links. However, if at least one recipient of the email is not on the specified domain list, all links are sent unchanged as public share links, so that this recipient can also use the links.
The registry value that controls this setting can be rolled out to the desired AD groups and users via group policy, for example.
Important: When this policy is enabled, all email recipients of the specified email domains require permissions in DRACOON to all data rooms to which links are sent.
ImprovedClearer display of Email Protection status
When Email Protection has been enabled for an email, the command is now not only marked with a green checkmark as before, but additionally highlighted and outlined (the latter only in newer Outlook versions), which makes it easier to see at a glance that Email Protection is active:
Additional improvement: Since all attachments are always converted to shares when Email Protection is enabled, the "Convert attachments automatically to shares" menu command is now checked as soon as email protection is enabled to avoid misunderstandings.
