What is "Share from DRACOON"?
With the Share from DRACOON command you can make a file, an entire folder, or a data room from DRACOON available to other people in Microsoft Teams for download or viewing if they are not set up in DRACOON as users or don't have access rights to the shared item in DRACOON. DRACOON for Teams automatically creates a share link for the item and inserts it into a channel conversation or chat message in Teams.
- If you share a file from DRACOON, it can be downloaded by other people via the share link. As an alternative to downloading, shared PDF files, photos, medical DICOM images, and videos can also be viewed directly in the browser.
- When you share an entire folder or data room, the share link results in a download of the entire contents of the folder or data room as a zip file.
- You can password protect a share so that only people who know the associated password can use the share link.
- Numerous settings are available for shares. For example, you can set an expiration date, which limits the availability of the share to a certain amount of time.

Who can to share from DRACOON?
You need the Manage shares permission in the relevant data room to be able to create a share for it or for files and folders in the data room.
Create a share from DRACOON and insert it into Teams

In the toolbar below the channel conversation or chat message where you want to insert the share, click the DRACOON icon, and then click Share from DRACOON.Teams for iOS/Android
To the left of the channel conversation or chat message where you want to insert the share, tap , tap the DRACOON icon, and then tap Share from DRACOON: - Select the file, folder, or data room from DRACOON that you want to share, and then click the Share button.
Example:- Search: To quickly find the desired item you want to share, enter a part of its name in the search field above the list.
- Open data room/folder: To open a data room or folder and view its contents, click directly on the name of the data room or folder. Example:
- Go back from data room/folder: To go back to the parent level from a data room or folder, click the corresponding item in the path (above the list). Example:
- Display of classification:The colored dots to the right of the file names indicate the classification of the files. If you point to a dot with the mouse, the classification is displayed as a tooltip.
Restrictions for encrypted data rooms: Entire encrypted data rooms and folders cannot be shared; however, you can share individual files from encrypted data rooms. The share must be password protected.
- Search: To quickly find the desired item you want to share, enter a part of its name in the search field above the list.
- You can now set an expiration date as well as a password for the share, if needed, by selecting the corresponding checkbox:
Mandatory password depending on classification (policy): The configuration manager may have defined the policy that shares must always be password protected if the shared item has a certain minimum classification (such as "confidential"). In this case, the password option is automatically enabled and a password must be specified for the share.
If you want to specify additional settings for sharing, click the Advanced settings button at the bottom left of the dialog: After that, a new dialog box will appear where you can specify even more settings for the share: To apply the settings in the Advanced Settings dialog box, click the Save button at the bottom right of the dialog box. - Finally, click the Create share link button to create the share with your selected settings:
- The share link is inserted into the channel conversation or chat message in Teams. If necessary, add additional notes about the share for team members, and send the message.
- All members of the team channel or all chat participants will see your share link and can click the displayed button to go to the share.
Later editing of the share settings
If necessary, you can change the settings of the share, such as the expiration date, in the DRACOON Web App at any time. In the DRACOON Web App, click Shares in the left sidepane, select the share, and then click Edit in the right sidepane.
